- The Time & Attendance Capture System (TACS) is used to capture time
worked and leave taken time information directly from the employee in a
simple, straightforward manner, so it can later be used to create
Timecards for processing Payroll and Attendance/Leave in a separate host
system.

- TACS consists of two main parts:
- a ‘time clock’ program that
captures the time worked the
employee’s id and job, the time in and time out.
- plus a ‘manager’ program that has various options to:
- process the captured time
worked records
- calculate and then record the
leave time
- report on the time and attendance data
- maintain employee data, leave types, and other parameters
- import/export data to the host payroll system

- Database server
- This is the computer where the application and database are actually
installed. It is also normally
the FTP server that is used to transmit files between TACS and the
Payroll system that exchanges data with it.
- This system must have a “server” level operating system. In districts where there are a lot of
employees and transactions the system may need to be configured with
more memory and/or dual processors for satisfactory performance.

- It is common for IS departments to have a “standard” configuration they
normally use for systems serving as a database server and performing
these types of functions, so be sure to check with them regarding this
system’s configuration.
- We will be happy to discuss all of the above with anyone looking for
information or assistance.
- A complete system requirements document is included in your
documentation.

- The initial time clock screen displays the location name, number,
current date/time, location messages, and an entry box for the
Employee’s Badge Number.
- The first location selected will be set as the default unless it is
changed by the user.

- The employee can either scan their ID card or key in their ID number and
press the enter key.
- The next step depends on whether the employee has one or more
assignments.

- This option provides the ability to add or edit messages that will
appear on the Time Clock Screen when an employee clocks in or out.
- Messages can be designated to appear on the screen for all employees in

- This report will show the total time worked by an employee.
- Useful for employees that have multiple assignments.

- This option will provide the user a report that displays the time an

- It also displays the method (Time Clock or TACS Manager) used to clock
in and out.

- This option will allow the user to display a report that provides
information regarding employee sign-in or out times between certain
hours of the day, thus allowing the user to monitor early or late
sign-in or out times.

- This option will allow the user to display a report that shows the
beginning leave balance, leave time used, and ending leave balance.
- This report does not include time accrued this pay period.

- This report alerts the user to the possibility of overtime or comp
time.
- Lists the actual times for the days worked that week and then
calculates and projects an average of hours that could be worked for
the remaining days in the week.
- Enables you to see in advance if an employee may need to go home early
on Friday in order to avoid overtime or comp time.

- Import
- This feature is still in development.
- It will allow the user to import
data from SunPac into TACS from within the application.
- Currently, this process is set up to run automatically every night.

- Export Process
- In order to export data from TACS, the software program Speed is
required.
- Errors will not export. Warnings
will export.
- Check the “Allow Export of valid records if errors exist” to export all
valid records.

- Export
- Once all records are exported, import the time cards into Speed by
using the Time Clock Import function that is located on the Speed Menu.
